How to Submit a Workflow

STEP 1: Click the Save and Preview Button

Once all of your changes are complete and you're prepared for the edits to go live, click the Save & Preview button at the top of the Editing Window.

STEP 2: Click the Submit Button

Check over all of your changes in the preview screen now displaying in the Workspace.

If you need to make changes, click the Edit button again to resume editing.

If everything appears ready for publishing to the production server (the live websites), or if you need to preview exactly what your changes would like (publish to the staging server), click the Submit button in the Action Bar.

STEP 3: Click the Check Content & Submit Button

After clicking the Submit button, a new box will appear beneath it. Inside of that box will be a field for leaving comments and a single button.

Click the Check Content & Submit button to have Cascade run a spell check, a link check, and an accessibility check on the page.

The Content Check screen will display.

STEP 4: Click the Right Arrow Button

The top of the Content Check screen shows the three types of checks Cascade makes and the number of errors it has found.

In the accompanying screenshot, Cascade has found four spelling errors, two broken links, and zero accessibility errors. This is displayed by the red dots at the top right corner of each of the check tabs.

During each check, click the Right Arrow to advance to the next check.

The three checks Cascade runs are:

  • Spell Check: Checks for spelling errors. Leave the errors on Ignore to ignore the error, or click the circle for Fix for a dropdown menu with spelling suggestions. Typing into that field will allow you to make custom corrections.
  • Broken Links: Checks for links on the page that no longer work. Leave on Ignore to skip, or click Fix to make a correction.
  • Accessibility: Mostly checks for the correct tags used on tables. Leave on Ignore to skip, or click Fix to make a correction.

STEP 5: Click the Checkmark Button

Once all of the content checks are complete, click the Checkmark button.

STEP 6: Click the Start Workflow Button

No one from the web team reads comments left in this section. If you need to contact the web team, create a ticket by going to sandiego.edu/web-requests.

However, you can leave workplace appropriate comments here for your own reference if you would like.

At the bottom of this page is where comments from returned workflows will appear if someone on the web team has assigned you additional modifications.

When everything is complete on the comment screen, click the Start Workflow button to lock the asset in workflow. The workflow confirmation page will then display.

CAUTION!: The next step is still required. If you peace out to grab a mimosa at this point, your workflow is still in "your court," and no one will ever do anything about it.

If you're not interested in previewing your change on the staging server or making any additional changes, you can now submit your workflow.

Click the Send to Review link, and your workflow will immediately go to your Content Reviewer's (or Technical Reviewer's if you don't work for a school) workflow list for review.

STEP 8: Assigned Additional Modifications (Workflow Return)

If you are ever assigned additional modifications to make on a workflow, you can access that workflow by clicking the My Content button and then clicking the link for the individual workflow in question.

STEP 9: 1MB Memory Size Limit

If the attached file exceeds 1MB, the asset will not create. See instructions on how to Compress Files. If that still can't get the file small enough, see how to get access to Catcher, the Large File Server.

STEP 10: Click Save & Preview

Click the blue Save & Preview button.

Result: The Workspace displays a preview of the new asset.

Caution! The asset is still not created. Follow the final steps to make sure it is uploaded correctly.

STEP 11: Submit

If everything looks correct, click the blue Submit button.

STEP 12: Check Content & Submit

Select the option for Check Content & Submit.

STEP 13: Check Content

This will run you through the Check Content Process. Make any necessary spelling or accessibility changes, or add any necessary comments for the web team.

STEP 14: Start Workflow

Once everything is correct, click the blue Start Workflow button. Unlike other edits that require a Workflow to go through Content Review and/or Technical Review, an uploaded image will automatically complete the Workflow process.

STEP 15: Confirmation

Once the asset clears Workflow, you'll see it display as an asset in the Explorer. Selecting it will make it display in the Workspace.
