Sean establishes access to e-database: 
[within 5 business days; notify all department heads if there is a delay]

  • OCLC has two day turnaround to add new resources to our EZProxy configuration
  • For the time being, any resources that have to be restricted to Law School only (like BNA and West Study Aids) will still have to be proxied through WAM. 

Questions for Bee – what is the OCLC SLA?  Two business days? BNA and other databases that are still in WAM?

Recommendations: All vendors and contacts/emails/phone should be made available in ERM and as an email group.  All licensing agreements should be in ERM. Sean needs to know the restrictions and limitations of each e-database from contracts.


  1. Once e-database has been purchased, and any trials have ended, make sure you are aware of any limitations and restrictions for this e-database, such as:
    1. Limited to only certain patron types
    2. Limited to only certain library locations
    3. Limited to only on or off campus access
    4. Requires users to create accounts with sandiego.edu
    5. Limits on concurrent users
  2. Send the vendor the following IP ranges and confirm that they have been added:

NOTE: IPs can change infrequently. Library Services will update electronic resource staff with updated IP ranges.  If they change, then all vendors need to be notified by electronic resources librarian.


  1. Receive from vendor the URL for patron access
  2. Verify that local on-campus access works (which includes all the IP address, including WiFi):
    1. Click on vendor-supplied URL and verify that there are no errors. If any errors, troubleshoot with vendor
    2. Click and display content (actual content, not just tables of contents which may be freely available without subscription). If any problems, troubleshoot with vendor
  3. Verify with vendor that the e-database can be proxied (authorized), specifically using EZProxy and also determine any limitations (see step 1):
    1. If you are adding a database from a vendor that we have already configured for EZProxy (like most Proquest databases), it may already work with the proxy. Test out the URL by adding the “https://sandiego.idm.oclc.org/login?url= to the front of the vendor URL and click on the URL. Complete steps 4a and 4b to test the URL.  If it works, skip to step 7.
    2. If the database is restricted to only law users (like any databases from BNA or West Study Aids) then the old WAM proxy server will still need to be used. . Send an email to Library Services (libservices@sandiego.edu) NOTE: Library Services is working to move over these e-databases
    3. If the e-database can be proxied through EZProxy, send Library Services (libservices@sandiego.edu) the vendor URL and any limitations (see step 1). Library Services will forward the e-database URL and information to OCLC to have the configuration updated (i.e. stanza update), go to step 6
    4. If the e-database cannot by proxied through EZProxy, then skip to step 8.
  4. Receive confirmation from Library Services that the configuration has been added and they will send you the proxied URL.
    1. NOTE: OCLC has a two-business-day turn-around time SLA.
  5. Verify the URL is working on and off-campus per the limitations/restrictions for this e-database (see step 1).
    1. For off-campus, use your mobile device without being signed into EduRoam (campus WiFi) or check from home
  6. If vendor does not support proxied access through EZProxy (this is unusual):
    1. Compose patron instructions for off-campus access (e.g., create individual account using .edu email, etc.)
  7. Forward URL (or patrons instructions if no proxied access is available) to Dan and Robert
  8. Forward both local and proxied URL (or instructions if no proxy access available) to Loren
  9. Forward to Loren any additional information given by vendor about bib records
  10. Receive from Dan confirmation that titles and URL have been added to the research e-databases on website: http://www.sandiego.edu/law/library/find-resources/research-databases/ [within 2 business days]
  11. Receive from Loren confirmation that bibliographic records and items have been added to the on-line catalog with any special instructions and URL(s) [within 2?? business days]
  12. Send email to all librarians, including Inna and Sasha once all steps have been confirmed completed 
[within 2 business days]
