Deleting Assets

Deleted assets are held in the Trash for 30 days.

When you no longer need something live on the web server, it needs to be deleted. Otherwise the content will remain searchable in the internal Google Search engine as well as in public searches such as Google and Yahoo. Outdated content left on the public web server continues to make finding desired information on the USD website challenging for both internal and external audiences.

• Contributor: If a Contributor deletes an asset, it will initiate Workflow. Assets will be unpublished and deleted only after content review approval.

• Approver: Approvers can delete assets without Workflow approval. A Workflow task will automatically be created, but submitting the task will immediately send the asset to the Trash.

In the Explorer, right-click an asset and select Delete from the Shortcut Menu. You can also select Delete from the dropdown menu after clicking the More button from the Action Bar to delete the asset currently displayed in the Workspace.

If the asset has any current relationships, the Delete Window will notify you at the top. See the screenshot for an example of this alert. You will then have to manually remove those links from the origin pages.

Ensure Un-publish Content is selected.  If Un-publish Content is unselected, the asset will remain on the live website even though it has been deleted from Cascade Server. This also means that the asset will continue to be accessible and display in search engine results.

Clicking Start Workflow will begin a Workflow process. However, as soon as the process is submitted the asset will be deleted and removed from the web server.
